External sources
To optimise the cataloguing of new materials, it is possible to search for bibliographic records in external sources and link one or more of these to a manifestation. Linked bibliographic records are shown on the left-hand side of the detail view throughout the cataloguing. It is furthermore possible to automatically populate the values in the manifestation, expression and work based on a bibliographic record from an external source.
Link bibliographic records from external sources
Bibliographic records from external sources are linked to a manifestation as follows:
- Open an existing manifestation or create a new manifestation.
- Go to the "External sources" tab. In some cases this tab will be selected automatically when the manifestation is opened.
- Enter search text, select source and press "Enter" to search for a bibliographic record.
- Click a row in the table to view the bibliographic record on the left-hand side.
- Link a bibliographic record to the manifestation by clicking the "Link" icon
on the right-hand side of the table.
- A: If you are cataloguing a new manifestation, the following will happen:
- The bibliographic record in question is linked to the manifestation
- The detail page switches to the "Manifestation" tab
- When relations to the expression and work are subsequently selected, the auto-cataloguing will extract data from the bibliographic record and insert the values into the manifestation, expression and work
- B: If you are editing an existing manifestation or have gone back to the "External sources" tab to add more sources as part of the cataloguing process, the following will happen:
- The bibliographic record in question is linked to the manifestation
- The detail page remains on the "External sources" tab
- Data extraction from the bibliographic record must be done manually by clicking "Load data" on the left-hand side beneath the content from the bibliographic record.
- A: If you are cataloguing a new manifestation, the following will happen:
If you are creating a new manifestation by scanning the barcode on a material, a search for the scanned barcode will automatically be made in an external source.
If the manifestation has been created automatically based on a created order, it will automatically have a link to a bibliographic record in an external source.
Auto-cataloguing based on external sources
Linked bibliographic records from external sources can be used for auto-cataloguing by extracting data from the bibliographic record and inserting the values into the manifestation, expression and work. Auto-cataloguing can be initiated in the following ways:
- From the table of search results from external sources (see above)
- From a linked bibliographic record on the left-hand side beneath the record's own content
Conditions for auto-cataloguing
Auto-cataloguing works as follows:
- Auto-cataloguing does not overwrite values on a manifestation. If a field already contains a value, that field will therefore be ignored during auto-cataloguing.
- If a field allows multiple values, however, values from the bibliographic record will be added regardless of whether the field already contains values.
- Expression and work are only auto-catalogued if they are being created in the workflow in question.
- Values from value sets are only auto-populated if this is configured under Value set.
