If you have loaded students from STIL or imported students using "Full import" (see Patron import), students who leave the school will automatically be moved to the patron group called "Expired".
If a student leaves the school, they will be moved to the school's "Expired" patron group. If a student transfers to another school within the same municipality, the student will also be enrolled in the new class at the new school. In this case, you should manually send the student a reminder for any unreturned materials and remove them from the "Expired" patron group.
Automatic deletion of patrons in the "Expired" group
Under Admin > General settings > Automatic deletion of patrons in the "Expired" patron group you can enable automatic deletion of patrons in the "Expired" group and specify how many days a student must have been in the group before they are deleted. Note that it may take a little longer before the patron is deleted, as patron deletion is only carried out on days when there are other changes to the school's patron data that make a data import necessary.
The patron is only deleted if the following applies:
- The patron belongs to one or more patron groups called "Expired" and is NOT a member of any other patron groups.
- The patron does NOT have active loans or other outstanding items.
- In the "Import patron rules" configuration, you can configure whether patrons with loans or a balance are also deleted automatically. See more under Patron import from web services.
Manual deletion of patrons in the "Expired" group
Expired students can be deleted manually by searching for patrons in the "Expired" patron group, selecting the desired patrons, and then clicking "Delete". Do not delete students who are in your school's "Expired" patron group if they are also enrolled in a class at another school.
From here, you can also force the deletion of patrons with active loans or other outstanding items. The manual deletion can thus be used as a follow-up for patrons who were not deleted via the automatic deletion of patrons.
