You can view and edit a patron's loans in the following way:
- Search for a patron > Open the patron's detail page > Go to the Loans tab
The ”Loans” tab shows the materials that are on loan to the patron. The number of loans is shown in the tab title. For example, ”Loans (9)” means there are nine loans. If one or more loans are overdue, a red circle will be shown on the loans tab. Materials that are overdue are marked with a red date in the ”Due date” column. The loans table shows both materials currently on loan and materials returned within the last 30 days.
Possible actions on the patron's loans tab:
Renew from the loans tab
From the ”Loans” tab you can renew materials. If materials are renewed from here, it is possible to print a renewal receipt.
To renew one or more loans, they must first be selected. Then click ”Renew selected”. To renew all loans, click ”Renew all”.
- If the loans are renewed, a message is shown about this, and a ”success” icon is displayed. The ”Due date” column is updated and shows the new due date.
- If the loan cannot be renewed, the reason for the rejection is shown in a message when you hover the mouse over . A reason for the failed renewal could be that the material is reserved, or that it has been renewed the maximum number of times.
- If a loan cannot be renewed and you have permission to override, you can force the renewal. This is done by selecting the materials that could not be renewed and then clicking ”Force renewal”.
NOTE! In the configuration "Renewal of loans on reserved titles" under Admin > General settings > Loan you set whether loans on reserved records can be renewed. However, Cicero never allows loans to be renewed if the number of reservations is higher than the number of available materials.
Extend loan
From the "Loans" tab you can extend the due date on a patron's loan if, for one reason or another, it is not possible for the patron to return the material before the original deadline.
- Select the desired loans.
- Click "Extend". A dialog box now opens.
- Select a new due date
- Select a reason for the extension
- Suspend: Can be used for a normal extension of a loan where the patron is not able to return the material before a certain date.
- Allegedly returned: Can be used to indicate that the patron claims the material has already been returned. If this is selected, a handling tag will be added to the related material, so that via the material search it is possible to search for materials with the handling tag "Allegedly returned". - Optionally add a note elaborating on the reason.
- Click "Extend".
The loans will now appear in the table with the new due date, and with a status indicating that it has been extended (the reason for the extension will be shown in parentheses).
If there are active reservations on the loaned material (reservations on the material number), a message is given in a pop-up.
Patrons cannot renew materials that have been extended (e.g. via the CMS API), but the library staff member can force renewals of extended loans.
Withdrawal from the loans tab
It is possible to withdraw materials from the ”Loans” tab.
This is done by selecting the loans for the materials to be withdrawn, and selecting ”Withdraw selected materials” in the menu at the bottom left. You can also select ”Withdraw all materials” to withdraw all the materials that can be withdrawn. When the materials are withdrawn, the loan is set to Returned.
Note: Materials can only be withdrawn if the patron has an active loan on the material. Materials cannot be withdrawn if they are interlibrary loan materials, or if they have an unpaid compensation.
A warning is shown if a material is the last one that can fulfill a reservation or booking, but the material can still be withdrawn.
