It is possible to import bibliographic record data both in MARC21 format and as authority records. In both cases, Cicero seeks to automatically adapt the data to the EDM structure.
Import via FTP
It is possible to configure automatic import of bibliographic record data from an FTP server. Once the configuration is activated, bibliographic record data will be imported periodically from the specified server.
The FTP server is configured under Admin > Advanced settings > FTP endpoints and folders for external sources: Bib. record data.
Auto-generated tasks:
- After each import, an auto-generated task with the status of the import ("Overview of bibliographic record import") is created, if this is configured under Tasks > Workspaces.
- If an import fails, an auto-generated task ("FTP import of bibliographic records failed") is created, if this is configured under Tasks > Workspaces.

Import of existing records:
- When Cicero imports records with duplicate ISBN, ISMN or EAN numbers, these will by default be merged with the existing records (see Rules for importing existing records). However, if the year of publication differs, they will be created as new records.
- All records with duplicate ISSN numbers are imported as new records, regardless of the year of publication.
- A status of duplicate records will appear in the auto-generated task "Overview of bibliographic record import".
Manual import
Bibliographic records can also be imported manually by uploading a file with MARC21 data of the MRC or MARCXML type.
- Go to Catalogue > Cataloguing > New material
- Click "Create manifestation" and select "Import from file"
- Select a source (this can optionally be omitted)
- Select a file of the MRC or MARCXML type

Rules for importing existing records
It is possible to set up rules for how the import of records that already exist in Cicero should be handled for each of the external sources. The rules apply both to import via FTP server and to manual import. The rules are configured under Admin > Advanced settings > Cicero Catalogue > EDM: Rules for merging when importing bibliographic records.
The external sources can be ranked so that it is not possible for a source to overwrite data if Cicero already has data from a higher-ranked source.
It is also possible to specify how the external sources should merge data with the existing records in Cicero:
- Enrich: Empty fields will be filled in based on the import.

Overwrite: All fields will be filled in based on the import.
- With this type of merge, it is possible to specify specific fields that may not be overwritten.
- If a field already has a value, it will be overwritten, unless the field is included in the list of "Fields that may not be overwritten" OR if the external source has a lower priority than an earlier source that has updated the bibliographic record.
