With placement rules, it is possible to set a material's placement based on certain defined criteria regarding material and bibliographic record information.
The placement rules can be used for the following:
-
Automatic updating of materials' placement every night.
- Requires that the configuration "Setting for the periodic job Update material placement based on placement rules" is turned on.
- When a material automatically has its placement updated on the basis of placement rules, the material will at the same time be assigned the handling tag "Incorrect placement", so that it can easily be located afterwards.
- The old placement is still shown on the material's detail page, in the material search and on the picking list, so it is possible to find the material on the shelf.
- The new placement is only shown on the material's detail page when the material is scanned under "Check-in" or when the placement is manually updated to the new placement.
- The handling tag is automatically removed when the material is scanned under "Check-in".
- The update applies to materials with one of the following statuses: At home, Not delivered, Ordered, on the way.
-
Updating placement on the material's detail page
- Done by clicking the "Get placement" icon
- Requires that the configuration "Manual update of placement rules" is turned on.
- The materials will not be assigned the handling tag "Incorrect placement".
-
Updating placement when receiving materials in Cicero
- Requires that the configuration "Manual update of placement rules" is turned on.
- The materials will not be assigned the handling tag "Incorrect placement".
-
Updating placement for materials with a specific placement
- From the overview of placement rules, it is possible to update the placement for all materials with a specific placement.
- The materials will not be assigned the handling tag "Incorrect placement".
- The update applies to materials with one of the following statuses: At home, Not delivered, Ordered, on the way, In transit, On loan, Loaned with compensation, Ready for pickup, Lost.
If you want the placement rules to be governing for materials' placement, the configuration "Setting for the periodic job Update material placement based on placement rules" should be turned on, as materials' placement will then be updated every night according to the placement rules.
If you want materials' placement to be able to deviate from the placement rules, the configuration "Setting for the periodic job Update material placement based on placement rules" should be turned off. In this case, placement rules can be used to give a suggestion for a material's placement, e.g. when receiving materials or by clicking "Get placement" on a given material's detail page.
If a material's placement is set on the basis of a placement rule, the placement rule in question will appear on the material's detail page (see Detail page for a material).
Overview of placement rules
Under Admin > Placement rules, an overview of all created placement rules is shown. From here it is possible to:
- Create a new placement rule
- Delete a placement rule from the table
- Copy a placement rule from the table
- Change the placement rules' prioritization in the table
- Update placement for materials with a specific placement
Prioritization of placement rules
In the event that a material meets the criteria in several different rules, the highest-prioritized rule will be used. The rules' prioritization can be changed in the following ways:
- Drag n' drop in the overview table. Remember to click "Save prioritization" when you are finished changing the prioritization.
- Specify a prioritization in a rule's detail view.
Create/edit placement rule
A placement rule is created/edited in a detail view, which consists of the rule's name, priority, criteria and new placement. When a material meets all the rule's criteria, the material will be given the placement specified under "New placement".
The following criteria can be specified:
- Bibliographic record information (MARC21 only)
- Material group
- Current placement
A material must meet all the specified criteria in order to satisfy a placement rule. If a criterion field is blank, it will not be considered a criterion.
The criteria for bibliographic record information apply to the following fields:
| Name | MARC21 field | Example |
| Material category | 007[0] | |
| Specific material designation | 007[1] | |
| Format code | 852$c | u F |
| Language | 852$f | ENG |
| Classification code | 852$h | 745 |
| Shelving code | 852$i | Row/5 |
| Carrier type | 338$a | audio disc |
It is possible to combine several values in each criterion (except for "Material category" and "Specific material designation"). If several values are specified for the same criterion, only one of the values needs to be met.
- E.g.: Language has both the values DAN and ENG. If a material has either DAN or ENG, then the criterion is met.
It is also possible to specify truncation, masking and NOT values in the MARC21 fields:
| Character | Description | Example |
| * |
Truncation is used to retrieve different variations of a value. Replaces 0 to many characters. |
74* (finds e.g. 74, 741, 749.5) |
| ? |
Masking is used to replace an unknown character. Matches exactly 1 arbitrary character. |
wom?n (finds e.g. woman, women) |
| NOT |
Specified to find materials that do NOT have a specific value. A value is marked as a NOT value by clicking the created value. The value is changed back by clicking the value again. |
Language: NOT DAN Finds materials that do NOT have the language DAN. |
A new placement can be specified by selecting a placement in the placement hierarchy. It is also possible to specify that a field in the placement hierarchy should keep its current placement, which, for example, makes it possible to apply the same placement rule across different branches.
From the detail view, it is also possible to copy or delete the placement rule in question.
