Under Admin > Discarding rules, you can set up rules for which materials should automatically be set to ”Marked for discarding”, thereby automatically creating a list of materials that may need to be discarded. These materials can subsequently be found in the material search by selecting "More filters" and setting the value "Marked for discarding" to "Yes" (see Discard materials).
Setting up a discarding rule
Click "Create discarding rule" or select an existing rule in the table to display the details page for a discarding rule.
A discarding rule contains a number of conditions that must be fulfilled for a material to be marked for discarding. The following conditions can be configured for a discarding rule:
- Material group: Which material groups the rule should apply to. If none are selected, it applies to all material groups.
- Placement: Which placements the rule should apply to. If none are selected, it applies to all placements.
- Acquisition:
- Specify "Min. number of days since acquisition"
- This can be used to prevent new materials from being marked for discarding.
- Loan:
- Specify "Number of loans over a period is less than"
- Specify "Period (days)"
- This can be used to mark materials for discarding if they are not loaned out so often.
The discarding rules must as a minimum contain "Placement", ”Acquisition” or ”Loan”.
Please note that if the selected placement contains an empty value (e.g. [no department]) the system will mark both materials where the department is empty and where it is filled in, provided the rest of the placement details match.
To apply the discarding rules, the periodic job ”Mark for discarding” must be enabled under Admin > Advanced settings > Periodic jobs. The job runs every Saturday night, and all materials that meet a discarding rule are ”Marked for discarding”.
Remember to be aware that once the materials have been marked for discarding, this marking will only be removed if either the material is discarded – or an activity occurs on the material (Checkout, check-in etc.).
