Under "Admin" > "Themes" you can configure themes. A theme can be assigned to selected materials, and can be used to assign a temporary material group, floating group and/or placement to the materials. For example in connection with exhibitions.
In the overview of themes you can see in the status column whether a theme is active or inactive.
Create/edit theme
- Press "Create theme".
- Enter name and, if relevant, a description.
- Enter material group if the theme is to temporarily override a material's material group.
- Enter floating group if the theme is to temporarily assign/override a material's floating group.
- Specify activation (i.e. when the theme is active and can be linked to materials)
- Active from/until: Period during which the theme is active. If the theme is always to be active, you can simply enter a from-date.
- Repeat annually: If this is selected, the theme will be active every year in the period specified under "Active from/until".
- Remove link on check-in: If this is selected, a material will lose its link to the theme when the material is checked in.
- Add placement for participating branches. See below.
Inactive theme
When a theme becomes inactive, the link to its materials does not disappear. The theme can thus be reused, for example in connection with exhibition and seasonal materials that recur year after year. Here it is an advantage to be able to search for all the materials that have previously been linked to the theme.
Placement
The placement at the participating branch means that the material will get this placement if the material is at the specified branch. Empty placement fields mean that the material's placement fields are left empty. If the material is at a branch that is not specified in the list, the material's own placement is used.
The theme's placement information is used and displayed instead of the material's normal placement in, for example, the pick list, during material search, and through the CMS API.
Please note that when checking in a material that is linked to a theme, you do not receive a message that the material is linked to a theme.
Material labels
Consider whether new labels should be printed if a material is to have a theme placement for a longer period.
Floating group
When checking in and pseudo-checking-in a material with a theme, the material's destination is first determined by the theme's floating group, and if the theme does not have a floating group, the material's own floating group is used. You therefore do not need to set a floating group on the theme if the materials simply need to float as usual.
Delete theme
A theme is deleted either by clicking the delete icon in the overview of themes, or by clicking "Delete" in the bottom left corner on a theme's detail page.
Link materials to theme
Search for the materials that are to be in the theme (see Search material).
If you want to add a single material to a theme, you can open a material's detail page and add it from there. Here you can also manually remove a theme from a material.
If you want to add several materials to a theme, you can add the theme to all the materials found from the search results (see Edit multiple materials at once).
When the materials have been added to a theme, the materials now use the theme's material group, placement and floating group. An exception to this is the material's branch, which is only changed on check-in.
When the theme becomes inactive or is removed, the material's original values take effect. The theme's placement, however, is only removed from the material when the material is scanned/checked in.
Use a theme to temporarily place a material at another branch
By using a theme with a floating group, you can temporarily move materials to another branch; for example a seasonal depot or if you need to set up an exhibition at another branch.
To do this, you must do the following:
- Create a floating group where the branch(es) on which the materials are to be placed are set as ”Selected”.
- Create a theme and apply the created floating group. Fill in the other values as needed, for example placement at branches, material group, etc.
Note that when a theme is activated, materials only change branch on check-in (or pseudo-check-in) at another branch. This means that you cannot combine temporary placement at other branches with ”Remove link on check-in”, as the theme will be removed when the material is checked in. If you want to use a theme for temporary placement at other branches, ”Remove link on check-in” must therefore be turned off, and the theme must instead be removed manually or have an expiry date.
When the theme is removed or becomes inactive, the material immediately changes back to its original branch.
